Go-Live Plan: test it, then move the number

Everything below is built and running, now at its own address: phone.jrmhotels.com. Work down the list on your phone. Each step says what you should hear or see, so you always know whether it passed. Part 1 proves the system; Part 2 moves 845-734-1010 onto it in about two minutes, and it is reversible in one.

Part 1 - Prove the system (about 15 minutes)

1Hear both brands

Two numbers, one system. The greeting and the menu order change with the number the customer dialed.

Pass = the business name and the first menu option match the number you dialed.

2Make it ring a real phone

Press 0 for a real person. The system tries in your order, and whoever answers hears a whisper first so a personal voicemail can never swallow the call.

Pass = a real phone rings, the whisper plays, pressing 1 connects you.
If nobody presses 1 within about 20 seconds it moves on by design: next person, then everyone at once, then the office queue, then voicemail.

3Leave a voicemail and watch it arrive

This is the test that proves recording, transcription, the summary, the email and the WhatsApp alert in one shot.

Pass = an email titled "[Voicemail] ..." with the callback number on the first line, a written summary, "To close this:" bullets, the full transcript, a listen link, and copy-paste CRM fields. Everyone on duty also gets a WhatsApp about it.

4Clear it on The Floor

The Floor is the screen the office keeps open all day. PIN 7391.

Pass = the card disappears and the ring counts down.

5Let one sit and watch it chase you

Nothing is allowed to be forgotten. A callback nobody claims for 20 minutes turns into a phone call to whoever is on duty.

Pass = the chase call comes without anyone doing anything.

6Set yourself up the way you want2 min

Every person controls their own calls at My Settings (PIN 7391) - no admin, live in ten seconds.

Ask each person on the team to open it once and set their own. Five minutes total for the whole office.
Part 2 - Move your real number over

7Close the gaps that would go darkyours

Today the main line rings desk phones in the office. The moment it forwards here, the system reaches people on the numbers it has - and it silently skips anyone it has no number for. Right now that is Goldie, John, Anne, Aby and Ara.

Pass = every person you expect to ring has a number on My Settings. Anyone without one is not broken, they are just not in the rotation.

8Talk to Richter firstyours

Not a test - this is the one conversation only you can have, before we touch anything. 845-734-1010 lives on the SkyTek system, which belongs to his side. What changes for a caller: the new greeting answers, and the right person's cell rings first. What does not change: his desks. The Yealink phones stay on SkyTek untouched, and if the cells do not pick up, the call still lands on the office desk phones through their existing queue - the same ring they have today, now as the safety net instead of the front line.

One sentence to him: "We are putting a smarter front door on the main line. Nothing changes on your desks, and it is reversible in one click."

9The cutover itself - two minutes, reversible

When you say go, this is exactly what happens (I do it, you watch - or follow along yourself). There is no on/off switch on the rules in this portal. The trick is the ORDER: the first rule from the top that matches wins, and the Default rule matches always.

Rollback if anything feels wrong: drag Default back to the bottom, Save. The five time rules take over again exactly as before. One minute, nothing was deleted.
The one thing to check on that first test call: let it go to voicemail, then open The Floor. If the card shows your own mobile number, caller ID survived the forward and everything works normally. If it shows 845-734-1010 instead, their system replaced the caller ID on the way out - the system already handles that safely (each call stays its own card, and it tells the team to take the number from the message instead of dialing the line back), but tell me, because the clean fix is to port the number onto our own account and be rid of the middleman.

10Then the desk phones and the apps

Nothing must change on day one - the office keeps its Yealink phones exactly as they are, because our system dials their existing queue. Recommended order: forward the number today, run a week, then move devices one at a time - never both at once.
